THE DEVELOPMENT OF INFORMATION SYSTEMS FOR MEETINGS, THE OFFICE OF GENERAL EDUCATION AND INNOVATIVE ELECTRONIC LEARNING, SUAN SUNANDHA RAJABHAT UNIVERSITY

Abstract

Meeting is an activity of a group of people participating in the appointed meeting with different purposes, such as to exchange knowledge, ideas and to solve problems, etc. Each participant takes a role as a message sender and a message receiver while the knowledge, information, facts, ideas, emotions, feelings expressed in the meeting is, therefore, ‘messages’. However, since each meeting loads with lots of items on the agenda ranging from the announcement to items for consideration, in case of absence due to lots of other businesses, the report of the meeting will be useful for the absentees. Moreover, looking for the resolutions of the previous meetings will take time. The purposes of this study are to develop Information Systems for meetings to reduce time for looking up resolutions of the previous meetings and to increase the efficiency in keeping records of meeting reports for the highest benefit. This study employs Smart Meeting Program developed by Visual Basic language and Smart Meeting Library. Research tools include a questionnaire for finding the users’ satisfaction, and the system efficiency evaluation form. Method of study includes surveying the problems in present situation and the possibility to develop the system. Data is collected and the problems and users’ needs are analyzed by observation and enquiry of those involving in concluding the meeting reports. Details of the system including showing the results, and feeding the data relating to the relevant personnel are designed. The system is developed as the specified format, and tried out with samples to find out some inefficiency for system improvement. The improved system is used by samples for 3 months for data collection and processing. The system efficiency and the users’ satisfaction are measured. The research findings are proposed to the administrators for publicizing and implementation both within and outside the office. The research findings reveal the users’ satisfaction of the Information System of Smart Meeting in high level, and the efficiency of the system in high level.
